Refund & Cancellation Policy

Clear and fair guidelines for refunds, cancellations, and subscription changes.

1. Overview

At Yuktify (operated by Jarohina Technologies Private Limited), we strive to deliver services that meet or exceed your expectations. This Refund & Cancellation Policy explains the circumstances under which refunds and cancellations are processed.

Because our Services range from monthly SaaS subscriptions to one-time custom development projects to hardware-included installations, refund policies vary by Service type. Please read the section relevant to your engagement.

2. General Principles

  • All refund requests must be submitted in writing to support@yuktify.in.
  • Approved refunds are processed within 7-14 business days to the original payment method.
  • Refunds are at the sole discretion of Yuktify based on the policies below.
  • Applicable taxes (GST) refunded along with the principal amount.
  • Payment gateway / bank charges are non-refundable.

3. SaaS Subscription Services

Applies to: WhatsApp Business + AI, Institute Management System, Event Management System, AI Teacher subscription plans.

a) Trial / Pilot Period

Where a free trial or paid pilot is offered, you may cancel before the trial / pilot ends without further charge. Trial fees, if any, are non-refundable.

b) Monthly Subscriptions

  • Cancel anytime โ€” service continues until end of current billing cycle.
  • No refund for the unused portion of the current month.
  • No charge for future months once cancellation is confirmed.

c) Annual Subscriptions

  • Cancellation within 7 days of payment: full refund minus any actively used credits / messages / GST.
  • Cancellation between 8-30 days: pro-rata refund minus a 15% service charge.
  • Cancellation after 30 days: no refund; subscription remains active until expiry.

d) Auto-Renewal

Subscriptions auto-renew by default. To prevent renewal, you must cancel at least 7 days before the renewal date. Charges after auto-renewal are non-refundable unless cancelled within 48 hours of the renewal date.

4. Custom Web & Mobile Development

Applies to: Custom Apps, bespoke software, and custom development engagements.

a) Project Milestones

Custom projects are billed milestone-wise (e.g., advance, design, development, testing, launch). Each milestone payment, once approved by you and corresponding work delivered, is non-refundable.

b) Cancellation Before Project Start

  • Cancellation within 48 hours of advance payment: 90% refund (10% retained for kickoff effort & administrative costs).
  • Cancellation between 3-7 days of advance payment, before any design / development work has started: 75% refund.
  • Cancellation after 7 days or once design / development work has started: no refund of advance.

c) Cancellation During Project

If you choose to terminate mid-project:

  • Payments for completed milestones are non-refundable.
  • You will be billed for any work-in-progress at the completion percentage.
  • Source code & assets for completed work delivered to you upon final settlement.

d) Cancellation by Yuktify

If we cancel a project due to inability to deliver (force majeure or skill mismatch), you will receive a pro-rata refund for any uncompleted portion of work.

5. School Bus Tracking System

Applies to: Bus Tracking hardware + software + installation packages.

  • Hardware (GPS devices, SIM cards) is non-refundable once installed on the vehicle.
  • Cancellation before installation: 80% refund of hardware cost; installation and shipping fees non-refundable.
  • Software subscription portion follows SaaS Subscription rules (Section 3).
  • Defective hardware replaced free during warranty period as per warranty terms.

6. One-Time Setup Fees

Many of our Services include a one-time setup / onboarding / customization fee. These fees cover work already performed (configuration, training, branding, data migration) and are non-refundable once setup begins.

7. WhatsApp Business API Specific

  • Meta / WhatsApp conversation charges (CBP) are pass-through fees paid to Meta โ€” non-refundable from our end.
  • If WhatsApp permanently bans / blocks your number due to policy violations on your part, no refund of pre-paid balance is available.
  • If we fail to deliver setup as agreed within 14 days of initiation, full refund of setup fee is available.

8. Third-Party Costs (Pass-Through Fees)

Some Services involve third-party costs (e.g. WhatsApp conversation fees, SMS gateway charges, cloud hosting, payment gateway fees, Google Maps API, AI/LLM API charges, GPS data plans). These pass-through costs are not refundable once consumed, regardless of the status of your engagement with us.

9. Non-Refundable Items

The following are not refundable under any circumstances:

  • Domain registration fees and SSL certificates purchased on your behalf.
  • Third-party software licenses purchased on your behalf.
  • Costs of completed custom design assets, source code, or hardware installation.
  • Pass-through fees consumed (WhatsApp, SMS, AI APIs, cloud usage, etc.).
  • Payment gateway charges, bank charges, and currency conversion fees.
  • Training, onboarding, or consultation sessions already delivered.

10. How to Request a Refund

To request a refund, please follow these steps:

  1. Send an email to support@yuktify.in from the registered account / billing email.
  2. Include in your request:
    • Order / Invoice number
    • Date of payment
    • Reason for refund
    • Preferred refund method (usually the original payment method)
  3. Our team will review your request within 3-5 business days.
  4. If approved, refund will be processed within 7-14 business days.
  5. You will receive an email confirmation once the refund is initiated.

11. Chargebacks & Disputes

If you have a billing concern, please contact us first โ€” we resolve 99% of issues within 48 hours. Initiating a chargeback through your card / bank without contacting us may lead to suspension of services and is grounds for additional administrative fees being levied.

12. Modifications to This Policy

We may update this policy from time to time. Updates apply to new engagements signed after the update date. For existing customers, the policy in effect at the time of payment / signature applies.
